Scan and verify a school document in the ERP app
Use the header camera or Verify Documents, scan a school document or enter its reference, then check the verification result and issue status.
JPX School ERP can check a document issued by the connected school. Scan the barcode or QR code on the document, or enter its reference manually, and read the result in a popup. This helps the office check receipts, certificates and other issued school documents.
Before you start#
- Sign in to the correct school in the app and connect to the internet.
- Have the issued document and its reference or verification code ready.
- Allow camera access if you want to scan. Manual entry is available when the camera cannot be used.
Scan the document#
- Tap the camera icon, Scan document, beside Notifications in the app header. You can also open All modules › Verify Documents when your role allows it.
- On Scan school document, point the camera at the code in the ERP document footer.
- Use Torch or Switch camera if needed.
- Hold the document steady until the verification popup opens.
- Read the result and the available document details.
- Tap Close when finished.
Enter a reference manually#
- Open Scan school document.
- Enter Document reference or verification code from the issued document.
- Tap Verify document.
- Read the result in the popup.
Read the result#
| Result | What to check |
|---|---|
| Verified school document | Compare School, Document, Reference, Type, Status and Issued with the document in front of you. |
| Document not verified | Read the error or status. Check the reference and the connected school. Ask the issuing school if it remains unverified. |
| A revoked status | Read Revoked and Reason where provided. Ask the school for the current valid document. |
Only details returned for that document are shown. A connection failure is not proof that a document is false. Verification confirms the school's issued record; compare it with the paper or file you are checking.
Good to know#
- The scanner recognises the barcode and QR code formats used for issued ERP documents.
- Camera refusal does not stop manual reference entry.
- Do not send document codes or copies containing private student information through public support forms.
- See Verify documents in School ERP for the browser workspace and issued-document records.
Troubleshooting#
| Symptom | What to do |
|---|---|
| The camera is unavailable or permission is refused | Enter the document reference manually, or allow the app's camera permission in the phone settings. |
| The code does not scan | Improve the light and keep the whole code in the frame. Use manual entry if the print is damaged. |
| The document is not found | Check the reference and school. Ask the issuing school to review its record. |
| Verification cannot finish | Check the internet connection and try again. Do not treat an unfinished check as a verified result. |
