Privacy and your data in the apps
Who controls records in JPX School ERP, Parent, Staff and Business E-mail, device permissions and storage, and how to remove access.
This page explains, in plain terms, how the JPRAXC apps handle your information. The full notice is the Mobile App Privacy Policy at jpraxc.com/app-privacy (opens in a new tab). If anything here differs from that notice, the notice applies.
Who controls your records#
- JPX School ERP lets authorised office users read and change school records according to their ERP role. The school controls those records and account access.
- JPX Parent and JPX Staff show the records your school keeps in its School ERP. The school decides who gets access, what is shown, and corrects or removes records.
- JPX Mail shows mailboxes that your organisation administers. The organisation's administrator controls the mailbox accounts.
- For a correction or a change of access, contact the school or your mailbox administrator first.
What stays on your phone#
- The verified school, the accounts signed in on the phone and their saved sessions are kept in the phone's secure storage.
- Parents' sign-in details (admission number, date of birth, mobile number), Staff passwords and the ERP password used by JPX School ERP are not stored by the apps.
- The App PIN and the fingerprint or face setting belong to this phone only.
- Parent and Staff keep a copy of recently shown records so they can open quickly and show the last known information when you are offline. Do not assume the office app can load or save every ERP task without a connection.
- Files you open, such as receipts or salary slips, may be saved in the app's own storage before another app opens them. Files you save or share elsewhere stay there until you delete them.
Permissions the apps ask for#
| Permission | Used for |
|---|---|
| Notifications | Showing school updates and new mail. Declining stops alerts but does not affect your account. |
| Camera and photos | Scanning issued documents (School ERP), taking or choosing a profile photo, homework photos (Staff) and attachments. The document scanner also permits manual reference entry. |
| Microphone | Recording a ConnectX voice note, only while you record. |
| Location | Self Attendance in the Staff app, only when you punch in or out. |
| Fingerprint or face | Unlocking the app. The app receives only a yes or no from the phone, never your fingerprint or face. |
| Camera, microphone and screen sharing in enabled Live Classes | Sharing the audio, video or screen you choose with authorised class participants. Screen capture needs the phone's confirmation. |
You can refuse any of these. Only the action that needs it will not work.
Remove access from a phone#
- School ERP: Sign out locks the remembered account. Use More › Remove from this phone and confirm Remove to remove its remembered sign-in and App PIN. See ERP app security.
- One account: in Parent or Staff, go to More › Sign out and tap Remove this account from the phone. In Business E-mail, tap Remove this account from the phone under More.
- Everything for a school: in Parent or Staff, go to More › Change school. This clears the school and every account signed in for it.
- Lost phone: ask the school office or your mailbox administrator to review and end that phone's access. Do not rely only on settings on the phone.
- Uninstalling the app removes its local data. It does not delete any record held by the school or the mail service.
Ask for your data to be removed#
- School ERP: ask the school administrator to remove ERP account access and assess the related records. Removing the account from a phone does not delete school records, audits or backups.
- Parent and Staff: ask the school to remove your access and review the related records. Some school records, such as fees and attendance, may have to be kept.
- Business E-mail: ask your organisation's administrator.
- For information JPRAXC itself holds, or a privacy concern with JPRAXC, write to support@jpraxc.com with the subject "App privacy request". Include the app name and enough detail to find the account.
Good to know#
- Notification previews can appear on the lock screen. On a shared phone, hide previews in the phone's settings.
- An App PIN protects the app on this phone. It does not replace a screen lock on the phone itself.
