Renew your licence
Renewal reminders, renewing from inside School ERP or through jpraxc.com, and what happens if a licence runs out.
A JPRAXC licence runs for the period on your invoice. Before it ends, JPRAXC reminds you by e-mail and, in School ERP, with a notice at sign-in. You can renew from inside the ERP in a few clicks, or send a renewal request on jpraxc.com if you would rather speak to Sales. Nothing renews automatically, and JPRAXC never charges a saved card.
Renewal reminders#
- By e-mail. JPRAXC Licensing sends reminders from licences@jpraxc.com to the administrator, starting about a month before the end date and again as the date gets closer, with a final reminder the day before. Each e-mail has a button to renew.
- In School ERP. From 30 days before the end date, the administrator sees a Licence renewal notice at sign-in: Your licence expires in … days. Select Continue to ERP to close it for the day. In the last week it appears at every sign-in.
Renew from inside School ERP#
This is the quickest way. Only the administrator can do it.
- Sign in as the administrator.
- When the Licence renewal notice appears, select Renew now.
- The Renew your School ERP licence window opens. Check the plans, the term and the amount.
- Select Continue to secure payment. JPRAXC's secure checkout opens in a new tab.
- Pay. When the payment is confirmed, the message Licence renewed. appears and the licence is extended.
- The GST invoice is raised on your school's existing billing details and e-mailed to the administrator with the subject Purchase confirmed.
Renew through jpraxc.com#
Use this if you want to change the billing details, discuss the price, change the capacity or pay by bank transfer.
- Select Ask JPRAXC Sales on the renewal notice, or the button in a reminder e-mail, or go to Buy / renew on jpraxc.com.
- Fill in the renewal form. See Send a renewal request.
- Sales verifies the licence, prepares the GST invoice and sends a payment request.
- After payment, the extension is applied.
Good to know#
- Renewing early does not lose any days. The new term starts where the current licence ends.
- Your activation details stay the same after a renewal. You do not need to activate again.
- A renewal is a fresh order you choose to pay. If you do not want to renew, you do not need to do anything.
- If your organisation needs a proforma invoice before paying, reply to a reminder e-mail and ask for one.

If the licence runs out#
- Staff can no longer use the ERP normally until the licence is renewed. The sign-in screen shows a notice about the licence.
- Your records are not deleted by the expiry itself. Access returns once the renewal is recorded.
- For a Cloud edition that is not renewed, the Terms of Service explain how long records are kept for export afterwards. Ask for an export in good time if you do not plan to renew.
- In some cases JPRAXC can hold the licence open for a short time against a confirmed purchase order. Ask Sales before the end date.
Troubleshooting#
