Online fee payments
How parents pay school fees online through the school's own payment gateway account, and where the money goes.
The School ERP lets parents pay fees online, from the Parent portal or the JPX Parent app, through a payment gateway such as Razorpay, PhonePe or Cashfree. The school opens its own merchant account with the gateway and connects it in General Settings › Payment Configuration. The gateway settles the money to the bank account registered with that merchant account, on the gateway's own schedule and charges. JPRAXC does not become the merchant, does not hold the school's collections and deducts nothing from them.
How one payment travels#
- The parent opens Pay Online (Parent app) or Pay fees online (Parent portal), ticks the instalments to pay and chooses a gateway if the school offers more than one.
- The ERP works out the amount payable from the school's own fee records, including any late fee. The parent cannot add a discount or remove a late fee online.
- The parent pays on the gateway's secure payment page. Card, UPI and net-banking details are entered on the gateway's own form. They never reach the School ERP or JPRAXC.
- The ERP confirms the payment with the gateway before it records anything. Coming back from the payment page on its own never marks a fee as paid.
- Once the gateway confirms, the ERP posts the receipt against the instalments, once. The receipt appears in the parent's payment history and in Fees › Online fee collection.
- The gateway pays the money into the school's bank account later, minus its charges. The accounts office records that bank settlement in the ERP.
What the school needs#
- A merchant account with one of the supported gateways, approved by that gateway for live payments. See Choose a payment gateway.
- Payment gateway integration active on the School ERP licence. The card at the top of Payment Configuration says whether it is active; if not, View integration plans opens the plan.
- The School ERP reachable on the internet at a secure (HTTPS) web address. The Cloud edition is. An Offline / Local installation needs a public HTTPS address before a gateway can be switched on. Talk to JPRAXC support if you are unsure.
- The school administrator's login. Only the school administrator can change Payment Configuration.
Good to know#
- Several gateways can be live at the same time. Parents choose between them, or the ERP uses the one marked as default.
- The school adds no convenience fee. The total the parent sees is what the gateway is asked to charge. Any charge the gateway itself adds is between the gateway and the payer, and the parent can stop and ask the school.
- Test payments never pay a real fee and are never offered to parents.
- A payment is recorded only once, even if the gateway tells the ERP about it more than once.
- Online payments start at ₹1. Some gateways also have a largest amount per payment; see Choose a payment gateway.
