Sign in and the second sign-in step
Sign in to School ERP, answer the security question, and set up or use the authenticator-app code that protects your account.
Signing in to JPRAXC School ERP takes your Login ID, your password and the answer to a short security question. Many accounts also have a second sign-in step: after the password, you type a six-digit code from an authenticator app on your phone. The administrator always uses the second step; other users do when the administrator decides. The code comes from the app on your phone, not by SMS or e-mail, and it works on the Offline / Local edition too.
Other JPRAXC products sign in differently: Business Email uses the mailbox address and its password, and the Parent, Staff and Partner apps have their own sign-in and app PIN. See the Mobile apps section and Install and sign in to the Partner app.
Before you start#
- Get your Login ID and first password from your school administrator. The first administrator's account is created during activation; see Your account after purchase.
- If your account uses the second step, install an authenticator app on your phone, such as Google Authenticator or Microsoft Authenticator. Both are free.
- Set your phone's date and time to update automatically. Authenticator codes depend on the correct time.
Sign in#
- Open your school's School ERP address. The panel is headed Sign in securely.
- Type your Login ID. If your school shows a list instead, choose your name from Select who is signing in, or choose Someone else — type the ID.
- Type your Password. Select Show if you want to check what you typed.
- Under Security verification, answer the short question in Your answer. Select the circular arrow for a new question, or the speaker button to hear it read aloud.
- Select Sign in securely.
- If your account uses the second step, the Second sign-in step window opens. Open your authenticator app, type the current six-digit code in Six-digit code or recovery code, and select Verify and sign in.
If your phone is not with you, type one of your recovery codes in the same box instead. See Recovery codes.
Set up the second sign-in step#
The administrator is asked to do this straight after activation. Other users are asked when the administrator requires it, or can turn it on themselves.
- Signed in, select the shield icon next to your name at the bottom of the sidebar (Sign-in security).
- Select Set up now. The Set up the second sign-in step window opens with a QR code.
- In your authenticator app, choose Add, then Scan a QR code, and scan the code on screen. If you cannot scan it, choose Enter a setup key in the app and type the key shown under the QR code.
- Type the six-digit code the app now shows in Code from the app.
- Select Turn on. The message The second sign-in step is on. confirms it.
- The Recovery codes window opens. Save the codes before you close it; they are shown only once. See Recovery codes.
For administrators: decide who uses the second step#
- Open Users & Control › Access control and find the Second sign-in step panel.
- Under Who else must use it, choose Roles that can change fees, payroll or accounts, Everyone who signs in to the workspace, or No other role (each user may still turn it on).
- Set Days to set it up — the time people have before the workspace insists. Until then they see a reminder at sign-in with Set up now and Later.
- Select Save policy.
- To require the app for one person, select Require the app on their row. To go back to a password only, select Password only. You can also choose Password + authenticator app under Sign-in when you create a user.
Turn the second step off#
In Sign-in security, select Turn off the second step, type your password and select Turn off. This button appears only when the school does not require the second step for your account. The administrator's second step cannot be turned off.
When a phone is lost or replaced#
- A staff member's phone: the administrator opens Users & Control › Access control, selects Reset second step on that person's row and confirms Reset. The person signs in next with the password only and sets the second step up again on the new phone.
- The administrator's phone: sign in with one of your recovery codes, then set up the new phone from Sign-in security. If you have no recovery codes left, use Forgot administrator password? — see Forgotten password.
Troubleshooting#
| Symptom | What to do |

| The Login ID or password is incorrect. | Check the Login ID and password, including capital letters. If you still cannot sign in, ask your administrator to set a new password. |
| The security challenge expired or is incorrect. | A new question has loaded. Answer the new question and sign in again. |
| That code is not right. | Type the code the app shows now, not an older one. Check that the phone's time is set automatically. |
| The sign-in has expired or Too many wrong codes | Start again from your password. |
| Too many unsuccessful attempts | Sign-in pauses for a while after several failed attempts. Wait for the time the message gives, then try again carefully. |
| A message says this computer's address is awaiting administrator approval, on hold or terminated | Ask your school administrator. They manage which computers and networks may sign in in Users & Control › Access control. |
| A message says staff sign-in is on hold | Your school has paused or time-limited sign-in for staff. Ask your administrator. |
| You were signed out after inactivity. | Sign in again. The workspace signs you out when it has been left unused. |
