Group Schools
Bring several schools under one management into a verified group, add or remove member schools, and see their combined figures.
Group Schools is for a trust, society or company that runs more than one school on JPRAXC School ERP. Once JPRAXC has verified the group, it gets a Group ID, and its users see combined figures for every member school — students, staff, attendance, fee collection and admissions — one academic session at a time. Each school keeps its own ERP, database, users and licence. The group sees summaries, not day-to-day records.
Before you start#
- Only the school administrator, or a user whose role may approve in Group Schools, can request a group, add a school or accept an invitation. See Users and access.
- Every school in the group must have its own active School ERP licence. See Licence and renewal in the ERP.
- Each school has a School ID, shown at the top of the ERP. Select it to copy it. You need the other school's School ID to invite it.
- Keep ready one document that shows the common management, such as a trust deed or society registration, as a PDF, PNG or JPEG file.
Request a Group ID#
- Open Contact JPRAXC in the sidebar and go to Request School Group / Group ID.
- Select Request Group ID.
- Under Group identity, fill in the Proposed group name, the Management organisation and the number of Expected schools.
- Under Nominated Group Administrator, check the Proposed Group owner and Owner contact email, which come from your own account, and fill in the Owner mobile.
- Under Authority and evidence, describe the Management relationship and Why this group is required, and attach the Authority/supporting document.
- Tick the declaration and select Submit request.
You get a Request ID straight away. Your school becomes the first member, called the anchor school. The group becomes active only after JPRAXC has reviewed and verified it. Until then, nobody gets group access.
Follow a request#
- Every request filed from or sent to your school is listed under Contact JPRAXC › Request School Group / Group ID. Select one to open its timeline.
- Or select Track status and type the Group Schools Request ID.
- Changes of status also appear in the ERP's notification bell.
The request shows its status, any comment from JPRAXC, and each step with its date. While it is open you can Withdraw request. If it is put On Hold, add the missing details in the comment and select Resubmit information.
Add a school to the group#
- Open Group Schools › Schools and select Add School by School ID.
- Type the Target School ID.
- Choose the Permission profile: Reports Only, Reports + Approvals or Managed Branch. Choose only what the group needs.
- Optionally set Historical access from and Historical access to.
- Describe the Management relationship and the Reason for adding this school.
- Tick the billing box only if the group's billing users should be allowed to buy JPRAXC services for this school. It never shares that school's payment details.
- Select Send for school authorisation.
Accept an invitation (the invited school)#
- The request shows in the invited school's Contact JPRAXC list, marked Your decision is required. Open it.
- Read the requesting school, the permission profile and the reason.
- To agree, select Accept relationship. A six-digit code is sent to the administrator e-mail registered with your School ERP licence. Type it in Verification code and select Verify email & accept.
- To ask a question, type a comment and select Request clarification. To refuse, type a comment and select Reject.
After the invited school accepts, JPRAXC reviews and verifies the link. Only then does the school appear in the group.
What the group workspace shows#
Group Schools appears in the sidebar once your school is in an active group.

A school's figures appear once it has shared that session's summary. Until then the overview says it is waiting.
Remove a school or leave the group#
- From Schools, the group can select Request removal on a member school.
- A member school can select Request to leave Group in Group settings.
Give the reason, tick the confirmation and submit. JPRAXC reviews and verifies the request before membership ends. The school's own data, users, subscription and paid services stay as they are. The anchor school can leave only after the anchor role has been handed to another school, or the group has been closed.
Example#
Sunrise Education Trust runs two schools. The administrator of Sunrise Public School requests a Group ID with the trust deed attached. Once the group is verified, she invites the second school by its School ID with Reports Only, and its administrator accepts with the e-mailed code. After verification, the Overview shows both schools' figures for 2026-27 side by side.
Good to know#
- Changing a principal or school administrator does not change who owns the group. Ownership moves only through a verified reassignment.
- Each school still buys and renews its own licence and add-ons from its own ERP. See Storage and purchases.
- If the ERP cannot reach JPRAXC, Group Schools shows the last snapshot it received, read-only. Missing figures are not shown as zero.
