Connect your domain — DNS records and brand logo
Publish the MX, SPF, DKIM and DMARC records for your domain, and show your logo beside your mail with BIMI.
For mail on your own domain to arrive at JPRAXC Business E-mail, and for your sent mail to be trusted by Gmail, Outlook and others, your domain needs a few DNS records. You publish them at the company where your domain is registered or its DNS is hosted (your "DNS provider"). JPRAXC gives you the exact values for your domain and checks them with you once they are published. This guide explains what each record does, so you know what you are adding.
Before you start#
- You need access to your domain's DNS settings, or the help of the person or company who manages them.
- Have the list of records JPRAXC sent you for your domain. The values are made for your domain alone; do not copy values from another organisation or from this page.
- Check whether your domain already receives mail somewhere else. If it does, plan the switch with JPRAXC first so no mail is lost.
The records and what they do#
| Record | Type | Where it goes | What it does |
|---|---|---|---|
| MX | MX | Your domain itself | Tells the world which server receives mail for your domain. |
| SPF | TXT | Your domain itself | Lists which servers may send mail for your domain. |
| DKIM | TXT | A name ending in ._domainkey under your domain | Holds a public key that lets receivers check your mail was really sent by you and was not changed. |
| DMARC | TXT | _dmarc under your domain | Tells receivers what to do with mail that fails the SPF and DKIM checks, and where to send reports. |
JPRAXC may also send you an SRV record that lets some mail apps show each person's profile photo. Publish it exactly as given if you receive one.
Publish the records#
- Sign in to your DNS provider and open the DNS settings (sometimes called "DNS zone" or "Manage DNS") for your domain.
- Add each record from JPRAXC's list with the same type, name (host) and value. Copy and paste the values; do not retype them.
- For the MX record, set the priority JPRAXC gives you.
- Save the changes.
- Tell JPRAXC support that the records are published, so they can be checked with you.
DNS changes can take from a few minutes to a day or two to be seen everywhere.
Show your logo beside your mail (BIMI)#
BIMI lets inboxes such as Yahoo Mail and Fastmail show your organisation's logo beside every message from your domain. It is one logo for the whole domain, not a photo for each person.
Before you start#
- Your logo as an SVG Tiny PS file (SVG version 1.2 with the tiny-ps profile), with a square shape and a title naming your organisation. Your designer can export it this way, or you can use a BIMI SVG converter.
- The file must be no larger than BIMI's own limit of 32 KB, and must not contain scripts, animation, embedded photos or links to other files.
- Your DMARC record must be at enforcement (a policy of quarantine or reject). BIMI does not work without it.
Steps#
- In the webmail, open Administration and go to Domains.
- On your domain, under Brand logo (SVG Tiny PS, ≤ 32 KB), choose your SVG file.
- Select Keep the logo.
- If the file passes the checks, a preview of the logo appears and the page shows Publish in DNS: followed by a TXT record.
- Add that TXT record at your DNS provider exactly as shown.
Inboxes that support BIMI usually start showing the logo within a day or two.
To change the logo, choose a new file and select Replace. To stop showing it, select Remove and then delete the BIMI record from your DNS.
Good to know#
- The Domains section lists each authorised mail domain with its status. To add another domain to your plan, contact JPRAXC.
- Leave the DKIM and DMARC records in place for as long as you use Business E-mail. Removing them makes your mail more likely to land in spam folders.
- Gmail, Outlook and Apple Mail never show a sender's personal photo from the message itself. The brand logo above, or the photo card in Settings, are the ways to appear with a picture.
Troubleshooting#
| What you see | What to do |
|---|---|
| Mail from outside does not arrive | Check that the MX record is published exactly as given and that no old MX records for another service remain. Allow time for the change to spread. |
| Your mail lands in recipients' spam folders | Check that the SPF, DKIM and DMARC records are all published and that there is only one SPF record. See also Sending limits and good sending practice. |
| A message that the SVG must declare the tiny-ps profile or version 1.2 | The file is ordinary SVG. Export it as SVG Tiny 1.2 with the tiny-ps profile. |
| The viewBox must be square — inboxes show BIMI logos in a circle. | Ask your designer for a square version of the logo. |
| A message that the logo needs a title naming the brand | Add a title with your organisation's name inside the SVG file. |
| The logo must be 32 KB or smaller (BIMI's limit). | Simplify the drawing or remove embedded fonts. |
| BIMI logos may not carry … | Remove scripts, animation, embedded photos or links from the file. |
| The logo does not show in Gmail | Gmail needs a Verified Mark Certificate as well. Yahoo Mail and Fastmail show the logo on the record alone. |
