Finance and communication
- Can you reproduce our fee structure and receipt?
- How are concessions, arrears, partial payment and refunds handled?
- How are payment callbacks verified and reconciled?
- Can communication target the exact class, route, hostel or outstanding group?
- Where do WhatsApp, SMS and email replies and failures appear?
Data, security and continuity
- What data is imported, by whom and with what acceptance checks?
- Can we export our records in usable formats?
- Where is the database hosted and who can access it?
- How are backups created, protected and restored in a test?
- What happens during internet failure, server failure or provider outage?
- How are updates signed, tested and rolled back?
- What audit log records changes and administrative actions?
Commercials and implementation
A vendor who answers these questions clearly is easier to work with after payment. If an answer depends on the package or implementation, put that dependency in the scope instead of accepting “supported” as the final answer.
- Is pricing based on students, modules, branches, storage or messages?
- What minimum quantity and renewal term apply?
- Which integrations have setup and recurring charges?
- What configuration is included before training?
- How many role-based training sessions are included?
- Who supports the first month close and how are issues tracked?
- What is excluded from the quote?
- What happens to data and service at expiry or termination?
