How to integrate WhatsApp Business Platform with an ERP

Start with the workflow, not the API call
An integration succeeds when a message completes a business process. In a school that might be an admission acknowledgement, fee reminder, receipt, absence alert or transport update. In a sales operation it might be a lead assignment, quotation, payment link or support ticket. Define the trigger, recipient, approved wording, owner and fallback before connecting a number.
Keep promotional broadcasts separate from transactional notices. Record how consent was obtained, provide a clear way to stop non-essential messages, and never treat a phone number in the ERP as permission for every campaign.

Connect the business account
Use Meta’s approved onboarding flow to select or create the WhatsApp Business Account and phone number. Do not ask an operator to paste a permanent platform token into a browser form.

Keep credentials in the server boundary
The ERP server calls the provider. Encrypt sensitive configuration, restrict it by organisation, and keep it out of page source, exports and mobile storage.

Send approved templates
For business-initiated conversations, map ERP events to approved message templates and supply only the variables that belong to that recipient.

Receive webhooks
Verify the webhook, reject replays, store message and delivery identifiers, and route inbound replies to the correct school or team conversation.

Delivered, read, replied and failed are different states. Show the result beside the admission, fee, enquiry or ticket that produced it.

The most common failure is not a broken API. It is a working API connected to no operating discipline: duplicate reminders, replies that nobody owns, templates that no longer match the ERP event, or one credential reused across organisations.
